Best practices for automatic creation of PO’s in SalesPRO
For systems with one or more Roaming Workstations, Quotes, Sales, and Orders are synced from the Roaming Workstation to the Main Computer. Once that happens, that Q/S/O will exist in two places; on the Roaming Workstation and on the Main Computer. Any changes that are made in either place will be synced to the other, but not immediately. This takes some time. For this reason, it is best to set up protocols for your business to define who can make what changes to synced quotes, sales, or orders. For example, who will send the PO to the Vendor, or who will convert the Quote to a Sale. Once set, it will be extremely important for these protocols to be followed to prevent your business from having a PO sent more than once or having duplicate POs created.
When is it best to use “Duplicate Line Item” vs. “Add Product – as a Copy”
Duplicate Line Item – If in Order Entry, you want to create an exact copy of a line item, including the size and other dimensions, you would use the “Duplicate Line Item” feature. This can be found on the Tool Bar in Order Entry or by right clicking on the line item and choosing “Duplicate Line Item”. That duplicated line item would be added to the end of the list of products in your Order Entry screen. To then edit the newly duplicated line item, you can either double click on it or highlight it and click on the Edit Item button in the tool bar. You can also move the line item to a new location by highlighting it and dragging it.
Add Product – as a Copy – If you have a line item in Order Entry and you want to use that as a starting point for another line item, you would use the “Add Product – as a Copy” feature. This will open the “Add a Product” window, with the original product already selected. All of the options will be identical to the original product except for the Size. Once the size is entered for the new line item, clicking “Add” will add the new line, no other changes need to be made. You can also click on the “Add and Continue” button to use tha functionality to continue to add line items to your Q/S with the same options other than dimensions retained each time and without leaving the Edit Product Item screen.
